Tour Permits

NATIONAL TOUR PERMITS

Important information related to National Tour Permits:   Before presenting applications, please take the time to make sure that all of the following requirements are met and recorded on the application:

Round trip mileage.

Tour leader's name and address are legible

3

Number of Scouts and adults traveling. (Two leader minimum; one for every 10 Scouts.)

Tour leader must be at least 21 years of age.

What type of transportation will they be using?

Specify amount of insurance on each vehicle and how many people in each vehicle.
Please notice amounts of insurance is required.

Itinerary completely filled in with required signatures:
Scout Executive, Tour Leader, Committee Chairman or Member of Committee.

National Tour Permit applications must be mailed to the Regional Service Center at least 30 DAYS IN ADVANCE of the tour.  They are not permitted to accept Tour Permit applications over the telephone, nor additional time for International Letters of Introduction for they must be mailed to the Tour Leader from the National Council in Irving , Texas .  If the National Tour Permit application does not meet the requirements, it will be rejected and returned to the council.  It must then be resubmitted for approval.  Please keep in mind that Local Tour Permits issued by the council are for trips of less than 500 miles each direction and if the tour is over 500 miles each direction, a unit is required to fill out a National Tour Permit application.  Please review this information with your unit.  Thank you for your assistance.

LOCAL TOUR PERMITS

A Local Tour Permit should be submitted at least two weeks before the scheduled trip.  Please give us enough time to help you plan for a smooth outing.  It is very difficult to get missing signatures, vehicle information, etc. the day of the outing when most of the leaders are at work and unable to provide necessary information.  For this reason, we are asking leaders submitting Local Tour Permits to send permits by the Wednesday prior to the scheduled trip. If you fax tour permits, please make sure the return fax number is visible and readable somewhere in front of permit  so it can be processed and returned to you as soon as possible.  Our fax machine is ON 24 HOURS A DAY!!! (361) 814-3888.   Also, the information (on back) regarding vehicles - make & model, passengers, insurance information MUST be completed each time a permit is submitted.    Please make sure you sign the guide to Safe Scouting (Your signature goes under the Tour Leaders Name and the Assistant Tour Leaders Name) before turning it into the Registrar.  Thank you very much for your help.  (New Local Tour Permits should have the printed year-2004)- DISCARD ALL OTHERS.

We still have permits coming in for processing and approval  the date of trip (or shortly before).  Please send in permits two weeks ahead of schedule.  Sending in a tour permit doesn't mean that your unit members are  ready to go.   When you receive an  approved permit from council office, your unit will be ready to take that trip.    It is the adult leaders' responsibility to call the office to check on a permit that has not been processed within a reasonable time.  If you MUST send or fax in a permit within a couple of days of your trip, please help us.  Complete both parts of the permit.  Top and bottom.  AND WRITE A CONTACT PERSON'S PHONE NUMBER IN CASE SOME INFORMATION IS MISSING.    Again, it is the leader's responsibility to check the status of local tour permits.    The Council staff will do their part to help, of course, but please do your part and help us by planning your outing and completing permits in  a timely manner.

COMMON MISTAKES:

BACK PAGE INFO. REGARDING VEHICLES:   Even parents driving their own children MUST complete information on back page, which includes   information   regarding vehicles-make & model, passengers, insurance information MUST be completed each time a permit is submitted.

THE COUNCIL WILL ALLOW A LIST OF THIS INFORMATION TO BE ATTACHED TO THE PERMIT IN ORDER TO EXPEDITE THE PROCESS.  The easiest way will be to keep in your files a list of all parents' names, their vehicle information, insurance, etc.  A unit leader in charge may circle the names of the drivers for an event or an activity.    "Parents will be taking own children" is NO LONGER ACCEPTABLE.  A list  of names plus additional information MUST be provided.,

WEEKEND CAMPING RESERVATIONS:  Please make reservations at least a week prior to your outing.   This  is necessary to give enough time to rangers to get sites ready for your unit's camping experience.    You MUST complete a Weekend Camping Reservation, along with a local tour permit.  Weekend Camping Reservations for all three camps can be mailed via regular mail, faxed, or e-mailed upon request.  For additional information, you may call (361) 814-4300 Ext. 10 or 13.  Or 1-800-299-2267 ext. 10 or 13.

VEHICLE INFORMATION:
1. Insurance
2. Seatbelts for everyone?  If 20 people are going, there must be seatbelts to
    Secure 20 people.
3. Driver's License numbers- driver's names

RETURN FAX NUMBER:
 Please write your return fax number somewhere in front of permit and also write  
 A person's name where she or he can be reached during day.

WEEKEND CAMPING RESERVATIONS:    Please make reservations at least a week prior to your outing.  You MUST complete a Weekend Camping Reservation form, along with a Local Tour Permit.  Weekend Camping Reservations for all three camps can be mailed  via regular mail, faxed, or e-mailed upon request. 

PACK OVERNIGHTERS:  At least one person attending  MUST hold  Baloo Trained status.
